Terms and Conditions

These Terms & Conditions (“Terms”) govern all services, appointments, and products offered by PhyzioFit (“we”, “us”, “our”). By booking an appointment, attending a session, or purchasing goods from our shop, you confirm that you have read, understood, and agree to be bound by these Terms.

1. Service Bookings and Cancellations

1.1 Appointment Notice

Clients must provide a minimum of 24 hours’ notice to cancel or reschedule any appointment. If less notice is given, the full service fee is payable.

1.2 Late Arrivals
Clients arriving more than 20 minutes late may have their session shortened or cancelled. Full payment remains due for shortened or missed appointments.

 

1.3 Missed Appointments
Appointments not attended without notice are treated as fully paid. No refunds, rescheduling, or credit will be issued.

 

1.4 Gifting Appointments
If a client cannot attend, they may transfer the appointment to another individual (“recipient”), under the following conditions:

  • The recipient must have no contraindications

  • The recipient may only receive the originally booked service

  • The recipient must pay the full remaining service fee

  • Written confirmation must be provided by both the original client and recipient

  • PhyzioFit reserves the right to accept or reject any transfer at its discretion

 

If no attendance or valid transfer occurs, the appointment is treated as cancelled and is non-refundable.

2. Contraindications and Client Responsibility

 

2.1 Contraindications

Certain medical conditions (“contraindications”) restrict or prevent treatment. These include, but are not limited to:

  • Arthritis

  • Cancer / undiagnosed lumps or bumps

  • Cardiovascular conditions

  • Deep Vein Thrombosis (DVT)

  • Vomiting or diarrhoea

  • Haematoma or haemophilia

  • Hernia

  • Inflamed or trapped nerves

  • Nervous system dysfunction

  • Osteoporosis

  • Pregnancy

  • Recent fractures (<3 months)

  • Scar tissue (<2 years post-major surgery; <6 months post-minor surgery)

  • Skin conditions localized to the treatment area (abrasions, cuts, bruising, sunburn, etc.)

 

Clients must disclose all relevant medical conditions prior to booking. Failure to disclose relevant information may result in refusal or termination of treatment, with fees still payable.

PhyzioFit is not liable for injuries caused by withheld, inaccurate, or outdated information. Staff may refuse or modify treatment at their discretion to ensure client safety.

 

​2.2 Health Declaration & GDPR Consent

  • All clients must complete a Health Declaration Form prior to receiving any treatment.

  • By submitting this form, you confirm that the information provided is accurate, complete, and up-to-date.

  • PhyzioFit may refuse, modify, or terminate treatment if the Health Declaration indicates any contraindications, health risks, or insufficient information for safe treatment.

  • Only licensed PhyzioFit staff will access this information.

  • Health information will be handled in accordance with our Privacy Policy, and by submitting the form, you consent to its processing for the purposes of assessment and safe treatment.

  • PhyzioFit is not liable for injuries or adverse outcomes arising from incorrect, incomplete, or withheld information.

3. Payment Terms

Services are provided on a pay-on-service basis. Payment is due in full at the appointment. Accepted methods: cash, debit card, credit card. All service payments are non-refundable, including missed appointments, late cancellations, partial attendance, or sessions terminated due to contraindications or inappropriate behaviour. Services are delivered with reasonable care and skill, in accordance with the Consumer Rights Act 2015.

4. Clients Under 18

Clients under 18 must be accompanied by a parent or legal guardian, who must provide consent and remain present throughout the session. No service will be provided without valid parental consent.

5. Treatment Experience and Liability

Clients may experience soreness, bruising, stiffness, or fatigue. It is the client’s responsibility to inform the therapist if any technique causes discomfort.

 

PhyzioFit is not liable for normal post-treatment effects, or for injuries arising from:

  • Withheld or inaccurate health information

  • Failure to follow aftercare instructions

 

Nothing in these Terms excludes liability for death or personal injury caused by negligence, as required by UK law.

6. Termination of Services

PhyzioFit may terminate a session immediately without refund if a client:

  • Exhibits physical aggression, harassment, or threatening behaviour

  • Uses sexualised or offensive behaviour

  • Presents hygiene that poses a risk to staff

  • Has undisclosed contraindications

 

Termination may also result in temporary or permanent bans, and legal action where applicable.

7. Shop Returns and Refunds (Clothing and Goods)

7.1 Return Period

Customers may return eligible goods within 14 days of delivery.

7.2 Eligibility

Items must be:

  • Unworn, unwashed, and undamaged

  • In original packaging with all tags intact

 

7.3 Non-Returnable Items

Returns are not accepted for:

  • Worn or damaged clothing

  • Intimate apparel

  • Personalised or custom items

  • Items marked “final sale”

 

7.4 Statutory Rights

Nothing in these Terms affects your statutory rights for goods that are faulty, not as described, or unfit for purpose.

 

7.5 Return Shipping

Customers are responsible for return postage to:

Tracked and signed delivery is strongly recommended. PhyzioFit is not liable for loss or damage during return shipping.

8. Refunds for Goods

Refunds will be issued to the original payment method once the returned items are inspected and approved. Processing may take 5–10 business days. Original shipping costs are non-refundable.

Returns may be rejected if:

  • Items are worn, damaged, or missing packaging/tags

  • Items are returned after 14 days

 

Rejected items may be returned to the customer at their expense.

9. Shipping Policy

Orders are dispatched to the Post Office on the next business day via Royal Mail First Class Tracked & Signed.

PhyzioFit is not responsible for delays, misrouting, or loss after the parcel has been handed to the courier. Customers must ensure delivery details are accurate.

10. Limitation of Liability

To the fullest extent permitted under UK law, PhyzioFit is not liable for:

  • Indirect, incidental, or consequential losses

  • Courier delays or lost parcels

  • Allergic reactions or skin sensitivities

  • Misuse of products after purchase

11. Governing Law

These Terms are governed by the laws of England & Wales. All disputes shall be resolved exclusively in the courts of England & Wales.
